Share Dashboards in Composer

Dashboard sharing allows users with appropriate permissions to share dashboards with their organization, specific roles, or individual users. Qrvey's dashboard sharing model is available in Composer and Embedded scenarios in v9.3. You can manage sharing options and access levels from the sharing modals in the dashboard list or from the dashboard directly.

Access Levels

Qrvey supports the following access levels in its sharing model:

UseUser can view and interact with the dashboard but cannot edit. Supports End User Personalization.

Dashboard owners maintain edit and delete access to their dashboards.

When created, all dashboards are shared by default with the following access:

  • Shared with the owner’s organization (Edit access).
  • Shared with all customer organizations (Use access).

For other users to have access to a shared dashboard, the application that contains the dashboard must also be shared.

Permissions

Asset Sharing and Content Administration permissions provide granular control over who can view, edit, and share dashboards.

  • Asset Sharing - Users can manage sharing for dashboards they own or have Edit access to.
  • Content Administration - Users can view and edit all dashboards in their organization and child organizations. Users with Content Administration permission can delete a dashboard they do not own.

Permissions are managed by role.

Asset Sharing Permission

This permission enables the Manage Sharing option, available from both the dashboard list and Design mode. Sharing icons indicate if a dashboard has been shared. The dashboard also displays its sharing status (Private, Shared, Shared with me (Use), or Shared with me (Edit)). Users can filter and sort the dashboard list by sharing status.

Dashboards deployed with Content Deployment maintain the default sharing status: (Edit for organization, Use for customer organizations).

Sharing Rules

  • Only dashboard owners with the Asset Sharing permission can share their dashboards.
  • Non-owners can share a dashboard only if they have both the Asset Sharing permission and Edit access to that dashboard.

Sharing Options

Users with Asset Sharing permission and Edit access can share a dashboard using the following options:

  • Entire organization — All users in your organization with Edit or Use access (defaults to Edit).
  • Specific roles — One or more roles within your organization with Edit or Use access (defaults to Edit). Available only if roles have been defined.
  • Specific users — Up to 50 named users within your organization with Edit or Use access (defaults to Edit). Available only if users have been defined.
  • Share with all of my customer organizations - Used in embedded scenarios.
  • Stop Sharing Dashboard - Access removed except for the owner and users with Content Administration permission. Dashboard access level is set to Private.

The sharing modal provides options to share with organizations, roles, and users, and includes access-level controls. You can set access levels (Edit or Use) for each sharing entry. If a user is assigned multiple sharing levels within a hierarchy, the most specific (narrowest) access level applies. For example, if a dashboard is shared as Edit with the entire organization but as Use with a specific user, the user receives Use access.

Content Administration Permission

Users with the Content Administration permission can edit dashboards within their organization regardless of the dashboard's owner, status, or sharing configuration.

Access Rules

Users with Content Administration permission are granted the following access:

  • Full access (view, edit, and delete) to any dashboard in their own organization regardless of the dashboard's owner, sharing status, or publish status (draft, published, or unpublished).
  • Full access to any dashboard in their child organizations (embedded scenarios).
  • Full access to dashboards with Use access level. Content Administration permission overrides the access level.
  • Full access to private dashboards in their organization or their customer organizations.

Users with Content Administration permission cannot access dashboards in a parent organization unless the dashboard has been explicitly shared with them (embedded scenarios).

Migration Support

The following changes apply to dashboards after upgrading to v9.3:

  • Existing dashboards are updated to the sharing model.
  • Dashboards created before the upgrade are set to the new default (Edit for organization, Use for customer organizations).
